TERMS AND CONDITIONS OF TRADING Retail clients/customers for Historic vehicle insurance services a division of CHP Insurance Brokers Ltd. 1) Status .We are a private limited company acting as an independent intermediary placing clients insurance business with authorized panel of insurers or wholesalers. This is not advice on an“fair analysis“basis. (Not market wide) Our income is derived from commission paid to us by insurers & fees paid by our clients. The English Legal system governs us and we are authorized and regulated by the Financial Services Authority. Our firm reference number is 304879 2) Complaints/Standards issues– We hope that you do not have any but if you do please in the first case ring me or write to Mr. C. P. HIGGINS MD -42 High Street, May Bank, Newcastle under Lyme, Staffordshire, ST5 0JB. I will to try and solve your complaint on the phone or if you visit in person, if you still then have a complaint. Then because of the formal nature of the process, the complaint has to be in writing. If you are not content with our response, then you can approach your insurer whose details are shown in your policy documents. We are members of the financial ombudsman service www.financial-ombudsman.org.uk when you let us arrange your insurance you are agreeing to the terms below 3) Premium indications. They are based on the information supplied to us by you or your representative. Should the information change or material facts are disclosed that affects your insurers view of the risk on receipt of the new business proposal form from you. Then we will advise you as soon as we can. 4) Charges. All new classic motor policies arranged by us are inclusive of a new policy set up charge and legal expenses cover. (The exception being, off road policies for which legal expense is not part of the package) The charges are contained in our premium indication letter. For your information our standard charge is£26 set up plus£10 legal expenses. (£36 total) or it could be£31 if legal expenses is part of the insurers package. If however the risk has taken extra negotiation such as phoning insurers to obtain acceptance of a non-standard risk our charge could be higher. It will be shown in our premium indication letter. Certain insurance specialist providers now supply net- rated insurance policies, which means they pay no commission payment to us. In these cases we will advise of the net cost and our fees before you take out your contact or renew. 5) Renewals.All on road classic policies are invited at the insurer premium plus our renewal fee and legal expenses. The renewal fee is£11 plus legal expense£10 (£21 total) unless legal expenses comes as part of the policy eg Hagerty. The insurer renewal paperwork is sent with our covering renewal letter. We ask you to study their paperwork and keep it with your policy documents. You must remember your duty of disclosure. (See also 9) 6) Policy Changes.Should an amendment be to your policy /contract be required by you then we have an administration charge to help us with the cost of this work. This charge is£11 and is addition to any charge the insurer may make,we will try and have their up to date charges on the suppliers information but they do change them on short notice) 7) Refunds / Policy Cancellation before renewal- Where and when the insurer makes a refund they reclaim commission from us. Therefore we will make to you a net refund (the actual amount past on to us by the insurer) less an administration charge of£15 to help cover the work involved and banking costs. There is no refund of our charges. Please note in view of the low premiums / mileage complications some classic insurers will not make refunds. 8) Claims.We ask that you report any claims to us as soon as possible so we can help and guide you with the process. However if your claim is urgent and its outside our office hours then please in the first case use your insurers help line contained with your policy documents and advise us as soon as possible. 9) Material facts.When you complete a proposal form you and or make declared statements on which the insurance contract is based and premium charged. If these facts change then you should advise us in writing immediately. It can change your insurers willingness to cover your risk or that of your permitted drivers. Some examples of such material facts are vehicle modifications such as occupation change-motoring and criminal convictions-health changes-accidents -fire-theft claims on other motor insurance policie. You should also study your insurers renewal notice and keep it safe. 10) Payment. -We do not offer credit, on a new policy we expect you to pay the required amount before cover starts or if the final price is not finalized a substantial deposit with the balance to be paid within 14 days after being invoiced to you. On changes to existing policies we require payment within 10 days of our invoice. Renewal premium should be paid before renewal date to ensure the insurer continues to provide cover. You may pay by cheque or cash (cash by post registered please) or direct into our client bank account (please ask us for bank details if you intend to do this). Your money is held in a separate client account until its paid to the insurer/wholesaler. 11)File storage.While your policy is in force and you are still our client. We then keep both computer and paper records. Photographs supplied are not returnable as those are passed on to insurers. When the policy is no longer in force the file is edited and stored for 2 years after which it is destroyed. Accounts records are kept for 6 years which also contain policy numbers. Our own claims files are kept for 3 years from the completion of the claim. If you are no longer our client then we reserve the right to charge if you wish us to examine our records and supply information. 12) It is our policy to treat our customers fairly in our actions, please tell us if you do not think we have been fair.
